DuPage County IL Recorder: Deeds, Official Records, Search Steps, Fees, Copies and Recording Help

The DuPage County Recorder records and maintains official documents for property located in DuPage County, Illinois.

Use this office for deeds, mortgages, releases, liens, lis pendens, judgments, UCCs, plats, transfer-on-death instruments and other recorded land documents.

Do not use one county office for every property problem.

The Recorder handles documents. The Supervisor of Assessments and township assessors handle value and assessment records. The Treasurer handles tax bills and payments.

Best first step:

If you only need a deed image, start with the online search portal. If you need to record a deed, check the fee schedule, PTAX/MyDec rules and municipal transfer stamps first.

Recording workflow

How to Record a Deed or Property Document in DuPage County

A deed is recorded when the document meets statutory requirements and the required fees are paid.

The Recorder stamps the document with a recording number and date, indexes it, images it and returns it to the submitter.

  1. Confirm the property is in DuPage County.

A mailing city can cross county lines. Confirm the PIN and county before recording.

  2. Prepare the completed deed.

The Recorder cannot choose the correct deed or prepare legal language for you.

Use an attorney for trusts, estates, divorce, TODI, business ownership or unusual title issues.

  3. Add required property details.

Prepare the PIN, property address, legal description, grantee or taxpayer name and address, and preparer’s name and address.

  4. Check PTAX or exemption requirements.

Many Illinois transfers need a PTAX-203 declaration, MyDec filing or exemption statement.

  5. Check municipal transfer stamps.

Some DuPage municipalities require a transfer stamp or exempt stamp before recording.

  6. Verify the recording fee.

Use the current Recorder fee schedule before mailing, walking in or eRecording.

  7. Submit the document.

Submit in person, by mail or through an approved eRecording vendor when eligible.

06

A document that fails the standard formatting rules can cost more or be returned.

Paper weight: use white paper of at least 20-pound weight.

Margins: keep at least one-half inch of clean margin on top, bottom and sides.

Recorder space: keep a blank space at least 3 × 5 inches in the upper-right corner of the first page.

No attachments: do not staple or permanently attach items to document pages.

Reference limit: standard formatting references five or fewer PINs, tax parcels or document numbers.

08

Illinois transfer declaration

PTAX-203, MyDec and Real Estate Transfer Declarations

Many Illinois real-estate transfers require a PTAX declaration or a valid exemption statement.

DuPage County says questions about Real Estate Transfer Declarations should go to the Illinois Department of Revenue.

MyDec

DuPage has accepted PTAX-203 forms completed through MyDec since January 14, 2015.

MyDec helps prepare the transfer declaration. It does not replace recording the deed with the Recorder.

PTAX resources

The Recorder links PTAX-203, PTAX-203A, PTAX-203B and PTAX-203NR resources.

The Illinois Department of Revenue Help line listed by DuPage is 844-445-1114.

DuPage Municipal Transfer Stamps and Township PIN Checks

Some DuPage municipalities require a transfer stamp or exempt stamp before a deed is recorded.

Copies and certification

How to Get a DuPage County Deed Copy or Certified Copy

Online imaging and printing are available at no charge through the Recorder’s Search Online system.

Certified copies and Research Department copy services have separate fees.

  1. Search the document first.

Find the document number, recording date and number of pages when possible.

  2. Use View/Print Document for basic research.

This is usually enough when you only need a working copy for personal records.

  3. Ask whether certification is required.

A lender, court, title company or agency may require a certified copy.

  4. Contact Recorder Research for certified copies.

    Use 630-407-5401 or recorderresearch@dupagecounty.gov.

Deed-copy mailers can be expensive.

The Recorder says it is not affiliated with outside deed providers. Compare any private offer with the county’s current copy and certification fees before paying.

11

Fraud monitoring

DuPage County Property Fraud Alert

DuPage County offers a free Property Fraud Alert subscription for recorded-document monitoring.

It can notify you when a matching name or property-related record appears, but it does not stop or invalidate a recording by itself.

  1. Prepare name variations.

Include owner names, trust names, business names, maiden names and common spelling variations.

  2. Subscribe through the official alert page.

The Recorder lists online sign-up and a phone option at 1-800-728-3858.

  3. Review alerts quickly.

If an alert arrives, search the Recorder portal by document number and contact the Recorder or a legal professional if needed.
