Recording workflow

How to Record a Deed in Auglaize County

Recording a deed is different from preparing one. The Recorder preserves the document, while the legal preparation and transfer requirements must be handled correctly beforehand.

  1. Prepare the legal document

Check the grantor, grantee, legal description, signatures and notarial acknowledgment.

If you are unsure which deed or transfer instrument is appropriate, consult an Ohio attorney.

  2. Confirm the legal description

Check the parcel information and legal description against the county’s records.

Ask the Tax Map or Engineer’s Office whether the document needs map or survey review.

  3. Complete Auditor conveyance requirements

A deed transferring ownership may require conveyance processing and Ohio Department of Taxation forms.

Verify whether DTE 100 or DTE 100EX applies before submitting the document.

  4. Check the Recorder’s fee schedule

Count the pages and identify any additional references, plats or special charges.

Confirm the final amount with the Recorder before mailing payment.

  5. Submit the document

Deliver the properly prepared instrument using the method accepted by the Recorder.

Include return information and any required Auditor documentation.

  6. Keep the recording reference

Save the recorded document number or other reference after processing.

Check the Auditor’s ownership record later if the deed changed property ownership.

Do not confuse filing with legal approval

The Recorder records eligible documents. The office does not guarantee that a deed transfers good title or that its legal language is correct.

Common search and recording problems

Auglaize County Recorder Troubleshooting

I cannot find my deed online

Search using both current and former owners. Try name variations, different date ranges and available instrument references.

If it is an older record, contact the Recorder for help locating historical documents.

I only know the street address

Use the Auditor’s Address Search first.

Save the parcel number and owner name before returning to the Recorder portal.

The Auditor property search is under maintenance

Use the Auditor’s official office contact or county GIS resources.

Do not treat a maintenance message as proof that a parcel is missing.

My deed was returned without recording

Check formatting, legal descriptions, required transfer documentation and payment.

Ask the Recorder which specific issue needs correction before resubmitting.

The recorded document has an error

Do not attempt to edit a recorded image.

Ask the document preparer or an Ohio attorney whether a corrective recording is appropriate.

I paid off a mortgage but still see it

Search for a subsequent satisfaction or release.

If no release appears, contact the lender or settlement professional.

I need to know whether a deed changes legal ownership

Recording does not replace a professional title examination.

Ask an Ohio attorney or title professional to review the deed and related records.
