DEED TRANSFERS

How to Record a Deed in Champaign County, Ohio

Recording a deed is the final public-record step for many real-estate transfers.

Champaign County has local conveyance standards administered through the Auditor and Engineer. A transfer must meet those requirements before it can be accepted for conveyance.

1. Prepare deed Correct legal document
2. Review description Engineer / Auditor standards
3. Complete transfer Auditor conveyance
4. Record document County Recorder

Step 1: Prepare the deed

Confirm the grantor, grantee, property description, signatures, acknowledgment and any required document-preparer information.

Different deed types carry different legal consequences. For a gift, estate, survivorship change or trust transfer, consider obtaining qualified legal advice before signing.

Step 2: Review the legal description

The county’s conveyance standards are intended to prevent incorrect or incomplete descriptions from entering the tax-map system.

The county specifically encourages early Engineer review when a legal description has not previously received approval.

New parcels, surveys or materially changed descriptions can require further review before transfer.

Step 3: Complete Auditor conveyance

The Auditor reviews the transfer and applicable forms under Ohio conveyance rules.

The appropriate form commonly includes DTE 100 for a taxable conveyance or DTE 100EX when claiming a qualifying exemption.

Official conveyance forms and instructions

Open Champaign County Auditor — Conveyance Fees.

Under Links & Forms, choose the current Real Property Conveyance Standards and the appropriate DTE form.

Step 4: Submit the document to the Recorder

Once the required transfer review and Auditor processing have been completed, submit the recordable instrument with the appropriate recording payment.

Confirm whether the office currently accepts your document in person, by mail or through a supported eRecording provider before sending originals.

Do not skip conveyance review.

Ohio Revised Code Section 319.203 requires counties to maintain conveyance standards. The Auditor cannot transfer an instrument that fails the applicable standards.

Do not assume that a deed can be recorded simply because it has been signed and notarized.

ADDITIONAL SERVICES

eRecording, Veteran Documents, Liens and Mortgage Releases

Electronic document recording

Electronic recording may be available through professional submission providers serving Ohio counties.

However, the current Champaign County Recorder-specific vendor list and document eligibility could not be independently confirmed.

Title companies and other repeat submitters should call the Recorder before opening an eRecording account or submitting conveyance documents electronically.

Veteran military discharge documents

Ohio recorders handle qualifying military discharge filings under special statutory provisions.

These records can involve access restrictions. Contact the Recorder for recording and authorized-copy requirements.

Mortgage paid off but still showing?

Search for a mortgage satisfaction or release associated with the original instrument.

Paying off a mortgage generally does not mean you receive a brand-new deed. The original deed was usually recorded when ownership transferred.

If the expected release is missing, contact the lender or mortgage servicer first.

Liens and court judgments

Not all lien information is located in a single database.

Some real-property-related instruments are maintained by the Recorder, while relevant court judgments or filings may also require a Clerk of Courts search.

For a complete title or lien review, use a qualified Ohio title professional.

COMMON PROBLEMS

What to Do When a Champaign County Deed Is Missing or Incorrect

I only know the street address.

Start with the Auditor property search, then use the owner name in the Recorder records.

I cannot find the owner in CountyFusion.

Try the former owner, a different spelling or a wider recording-date range.

The online document image is unavailable.

Contact the Recorder with the name, instrument type and book/page reference.

My legal description was rejected.

Review the county conveyance standards and contact the Engineer or Auditor for the necessary correction.

I need to add a person to a deed.

Changing ownership usually requires a legally appropriate new instrument, not a simple database correction.

My property-tax bill shows the wrong amount.

Use the Auditor for valuation issues and the Treasurer for billing or payment questions.

I need a certified deed copy.

Contact the Recorder to confirm the certified-copy charge and accepted delivery options.

I need to verify clear title.

Use an Ohio attorney or title company. An online deed search does not establish marketable title.
