Deed recording requirements
How to Record a Deed in Northampton County, PA
The Recorder accepts properly prepared documents for recording. Recording is different from preparing a deed or establishing that the transfer is legally effective.
Northampton County has specific parcel-identification, formatting, tax and payment requirements. Checking these before submission can prevent a rejected recording.
1. Prepare the instrument
Confirm the grantor and grantee names, property description, required signatures, acknowledgment and the purpose of the document.
A deed that changes ownership, creates survivorship rights or transfers property from an estate may have significant legal consequences.
2. Include the parcel number
The Recorder’s fee schedule states that parcel numbers must appear on all documents relating to real estate.
Northampton County uses a Uniform Parcel Identifier, commonly called a UPI or PIN. Find it through the county assessment search.
3. Check parcel certification
For recordings marked with an asterisk in the fee schedule, the Recorder charges $10 per parcel for certification in addition to the document fee.
The county GIS Division is responsible for parcel identification and certification requirements associated with conveyances.
Northampton County GIS Requirements
Check UPI certification, subdivisions, parcel consolidations and plan requirements.
Review the UPI ordinances and any parcel-certification requirements. If your document involves a new subdivision, consolidation or lot-line adjustment, check the plan-review rules before recording.
4. Confirm document size and page count
The county’s current fee schedule specifies a maximum standard document size of 8.5 × 11 inches.
It lists a $10 noncompliance penalty for 8.5 × 14-inch documents. Additional pages and names can increase the final charge.
5. Include any required Realty Transfer Tax paperwork
Pennsylvania imposes a 1% state Realty Transfer Tax on taxable transfers. Local Realty Transfer Tax is separate.
Whether the transfer is taxable or exempt depends on the transaction. Do not assume a gift, estate-related transfer or family conveyance is automatically exempt.
REV-183 Statement of Value
Used when required to explain transaction value or an applicable transfer-tax exemption.
Review the transfer, real-estate location and valuation sections. Confirm whether the statement is needed for your transaction.
Ask the Recorder, settlement professional or attorney about state and local Realty Transfer Tax before submitting the deed.
6. Submit the correct payment
Make checks payable to Recorder of Deeds. The office accepts business checks, certified checks, money orders and cash.
The published schedule says personal checks are not accepted. Payments must match the amount due exactly, and no more than five documents may be paid using one check.
Mailed documents also require a self-addressed stamped envelope with sufficient return postage.
Although the office closes at 4:30 PM, the fee schedule says recording requiring PIN certification concludes at 4:00 PM.

Copies and historical records
How to Get a Certified Deed Copy or Research Older Records
Get a certified deed copy
Start by locating the deed in LANDEX. Save its instrument number or book-and-page reference.
If the receiving party requires a certified document, contact the Northampton County Recorder directly.
The current Recorder schedule lists $0.50 per copy page and a $2.50 certification charge.
At the listed office rates, four photocopy pages cost $2.00 plus the $2.50 certification charge, or $4.50 before any other applicable costs.
Confirm the total and delivery arrangements with the office.
Research older Northampton County documents
Northampton County Archives maintains historical records, including original book and paper material from different county offices.
For older deed research, the county recommends using the grantor and grantee indexes in LANDEX.
LANDEX research terminals are available at both the Recorder of Deeds Office and the County Archives.
The Archives recommends contacting staff before making a research request.
In-person historical research is listed as free. Archive copy and staff-assisted research charges can apply.
Open Northampton County Archives ↗Review the Requesting Historical Records section and contact the Archives with your document details before visiting.
The county says microfilmed records are held at the courthouse office where they originated, not at the Archives.
For certified copies, work with the originating office rather than assuming the Archives can certify the document.
