Search workflow
How to Search Orange County Deeds and Official Records Online
Orange County’s online Grantor/Grantee index is the main public search route for recorded property documents.
The search is name-based. The office says staff will not conduct searches over the phone, in person or by mail.
Start with the right name
For a person, search last name first, then first name.
For a company, trust or LLC, search the business or entity name.
Use date range if you know it
A recording date range can reduce unrelated results.
This is useful for recent sales, refinances, reconveyances and lien releases.
Open the document-number result
Click the document number in the index result when available.
Save the number exactly for copies or follow-up.
Search both sides of the transfer
Try grantor and grantee name variations.
Also try prior owners, trusts, estate names and business names.
Enter the last name and first name, or enter the business name.
Use partial match if spelling is uncertain, add a recording date range if known, then click the document number for the record details.
The Clerk-Recorder copy page says the online Grantor/Grantee search provides an index of searched results and does not allow document images to be viewed online.
Official copies
How to Order Orange County Recorded Document Copies
Find the document number before requesting a copy. This makes the request faster and reduces wrong-document risk.
For documents recorded in 1982 or later, the instrument number usually starts with the recording year followed by six digits.
The Clerk-Recorder copy page lists $1 per page for recorded real property document copies.
Certification costs extra and should be requested only when you need a certified copy.
Mail copy requests should include a self-addressed stamped envelope.
For 1982 or newer records: provide the instrument number, party names and recording date when possible.
For pre-1982 records: provide book, page and instrument number if available.
Payment: make checks payable as instructed by the Clerk-Recorder copy page.
Mailing address: Orange County Clerk-Recorder, 601 N. Ross Street, Santa Ana, CA 92701.
Search the index first, write down the document number, then open the Official Records Copy Request Form.
Include the document number, page count if known, certification request if needed, payment and return envelope.
Recording preparation
What to Prepare Before Recording a Deed in Orange County
Recording a deed is not the same as searching for an old deed.
The Clerk-Recorder records eligible documents, but the office does not choose the correct deed for you or prepare legal documents.
Correct county: the document must be recorded in the county where the property is located.
Legible document: make sure all pages can be clearly read and scanned.
Return information: include the name of the person requesting recording and a return name and address.
PCOR: include a completed Preliminary Change of Ownership Report for documents affecting ownership changes.
Transaction limit: Orange County states each over-the-counter transaction is limited to a maximum of three documents.
Legal help: use an attorney or qualified professional if you need help preparing a deed or choosing the right document.
Review the over-the-counter and mail-in recording rules before you prepare payment.
Confirm whether your document needs a PCOR, SB2 exemption cover page, transfer tax statement or additional attachments.
Orange County allows documents to be presented by mail, FedEx or UPS. For mail-in recording, payment is by check, cashier’s check or money order only.
Make checks and money orders payable to the County of Orange.

Owner protection
Orange County Real Estate Fraud Alert and Courtesy Notices
Orange County sends a free courtesy notice to the property owner when a document affecting title is recorded.
No sign-up is required for that courtesy notice, but it does not automatically cancel a suspicious deed or lien.
Check the recorded document
Search the Grantor/Grantee index and save the document number, date, parties and document type.
Look for warning signs
Be alert if you receive transfer documents you do not recognize or a tax bill stops arriving.
Report urgent fraud locally
Contact your local police department if you receive documents you did not sign or believe were altered.
Use the right fraud office
Orange County lists the Sheriff Economic Crimes Detail, District Attorney Economic Crimes Unit and Adult Protective Services as possible help routes.
550 N. Flower Street, Santa Ana, CA 92703.
401 Civic Center Drive, Santa Ana, CA 92701.
Use when suspected elder or dependent-adult abuse may be involved.
Review the warning signs, then download the fraud report form if your situation matches the guidance.
If you believe a crime occurred, contact local law enforcement instead of relying only on the index search.

Decision path
What Should You Do Next?
You need a deed copy: search the Grantor/Grantee index, save the document number, then use the official copy request process.
You are recording a new deed: prepare the signed document, return address, PCOR, transfer tax information and correct fee.
You cannot find a document: try grantor and grantee name variations, partial names, business names and broader date ranges.
The online index is not enough: use the document number to request an official copy because online images are not available through the index.
Property value is wrong: contact the Orange County Assessor, not the Clerk-Recorder.
Property tax bill is wrong: contact the Treasurer-Tax Collector, not the Recorder.
You suspect fraud: save the recording details and contact law enforcement or the listed fraud resources quickly.
